What this template is ready to do.

Template outcomeFlow starting point

Prepare a bookkeeping-style CSV from Epos Now transaction items and email it to your accountant. The template includes core sales, discount, tax, cost and profit values, with transaction and item IDs for reconciliation.

The default schedule runs at 08:00 on the first day of each month and exports the previous calendar month. The timezone is left blank so it can use your timezone. Add your accountant’s email address before using the flow. You can change the report period, schedule, columns and delivery settings.

The report includes recorded staff, customer, product and location details; measured quantities and their matching unit prices; and allocated customer and loyalty points discounts. Customer credit payments remain payment information, rather than discounts. Customer discount and credit top-up adjustment rows are excluded to prevent double counting; service charges remain included.

Each row represents an item or service charge. Transaction-level payment information repeats on each item in the transaction and must not be summed across item rows. The customer and loyalty discount columns are components of Total discount, so do not add them to that total again.

Amounts use no export rounding to retain the precision of the bookkeeping calculations. Review a sample with your accountant before relying on the report. This flow exports a file; it does not post entries into accounting software.

What setup involves

This is a bookkeeping-style report, rather than an identical copy of the Epos Now report layout. Product and miscellaneous item names appear in separate columns. Service charges can be identified in Item type and Notes. Normal payment methods and other payment methods, including credit and points, appear separately. Standard quantities show Each; measured quantities show their recorded unit.

Service type keeps the Epos Now Eat In, Takeaway and Delivery labels. Tax rate IDs are the actual item tax IDs where available. Related customer, product barcode, staff and location details come from the available related records and may reflect later edits.

If an allocation cannot be calculated safely, the affected new financial values remain blank and the worker records a warning. Check unexpected blanks before using the report for accounting.
