What this template is ready to do.

Template outcomeFlow starting point

Email managers the day’s refunded items from Lightspeed Retail (X-Series), with no minimum refund value. This ready-to-use template checks closed sales at 20:00 in the user’s timezone and selects only items explicitly marked as returns. New purchases on the same sale are excluded.

The date filters cover the start and end of the current calendar day. The report contains sales available when it runs; items entered after 20:00 are outside that evening’s report. Choose a later send time if your working day ends later.

The 16-column CSV includes sale date and time, sale and receipt references, original sale reference where available, staff, outlet, register, product, SKU, quantity, item totals excluding and including tax, line tax, return reason, item notes and net sale total.

The email includes a table of up to 100 matching items and the CSV contains the full report. No email is sent when there are no matching items. Add your managers’ email addresses and customise the subject and message before using the flow.

Return reasons may be blank when not recorded. Return-marked adjustment lines can have positive values; values retain the source signs. Manually entered negative items without the return flag are excluded. Net sale totals repeat on each item row and must not be summed across item rows.

What setup involves

Defaults: daily at 20:00, From/To set to the day’s local boundaries, closed sales only, item Is Return set to Yes, and no value threshold. The template timezone is blank so a customer copy can use the user’s timezone. The only configured trigger is the schedule.

You can narrow the report by outlet or staff and choose additional filters where supported by your connection. This is an end-of-day report, not an instant notification. Test the selected reporting period and recipients before enabling your copy.
